These terms set out the basis on which we provide our website and our bespoke travel planning services. We have written them as plainly as we can, in keeping with the clarity and care we bring to every aspect of our work.

These Terms of Service govern your use of the YUGENZ JOURNEYS website and the bespoke travel planning services we provide. By accessing our website or engaging our services, you agree to these terms. If you do not agree, please refrain from using our website.
Our Services
YUGENZ JOURNEYS is a private travel atelier offering bespoke itinerary design, luxury accommodation arrangements, private experiences, and related concierge services within Japan. Each journey is tailored to the individual client, and the scope of any engagement is confirmed in writing before travel arrangements are finalised.
Enquiries & Proposals
Submitting a consultation enquiry does not create a binding agreement. Following your enquiry, we will prepare a proposal outlining the suggested itinerary and associated costs. A journey is confirmed only once the proposal is accepted and any required deposit is received in accordance with the terms provided at that time.
Bookings, Payments & Pricing
Pricing for bespoke journeys is quoted individually and may vary with season, availability, currency fluctuations, and the specific arrangements requested. Payment schedules, deposits, and balances are set out in your individual proposal and booking confirmation, which together form the agreement between us.
Certain arrangements are subject to the terms and conditions of third-party suppliers, including hotels, ryokan, and experience providers.
Cancellations & Changes
Cancellation and amendment terms vary according to the suppliers and arrangements involved, and are detailed in your booking confirmation. Because our journeys are bespoke and often involve commitments made on your behalf, cancellation charges may apply. We strongly recommend comprehensive travel insurance for every journey.
Travel Insurance & Documentation
Clients are responsible for holding valid travel documentation, including passports, visas, and any required vaccinations, and for arranging adequate travel insurance covering medical care, cancellation, and personal belongings. We are pleased to advise, but the responsibility for compliance rests with the traveller.
Role as Travel Designer
We act as a designer and coordinator of your journey, arranging services provided by independent third parties. While we select our partners with great care, we are not liable for the acts, omissions, or default of any third-party supplier, nor for events beyond our reasonable control, including weather, natural events, transport disruption, or changes in local circumstances.
Intellectual Property
All content on this website — including text, photography, illustrations, and the YUGENZ JOURNEYS name and marks — is owned by or licensed to us and is protected by applicable intellectual property laws. You may not reproduce, distribute, or use any content without our prior written consent.
Governing Law
These terms are governed by the laws applicable to our principal place of business, without regard to conflict-of-law principles. Any dispute arising in connection with these terms will be subject to the exclusive jurisdiction of the competent courts in that jurisdiction.
